The operation
The business is located near Kettinge in eastern Lolland. It was started by Kurt Ludvigsen, and in 2017 his son Simon Ludvigsen took over. Today, manure and sugarbeets fill most of the calendar. In the beets, the crew handles the whole process from planting to delivery at the factory, and when the beets have to come out, the machines run around the clock.
Pea harvesting used to be a large part of the business, but it stopped in 2022, when pea production in Denmark closed down. Since then the operation has moved into forestry work with its own forwarder and chippers.
FarmBackup gives us the overview and the control over all the parts that hold the business together from day to day. If people ask, we recommend FarmBackup Task. It makes the overview and the working day markedly better.
The situation before FarmBackup
Before FarmBackup, Døllefjelde used another system for handling work orders and payroll. Over time the business grew, and they needed features and better usability that the system they had at the time could not offer.
Why they chose FarmBackup
Døllefjelde was shown FarmBackup Task and could quickly see that it was a clear improvement compared with the system they had at the time. Just as important were the people behind it. From the start, Døllefjelde had a good relationship with the FarmBackup team, who are always ready to help and give good support without a long wait.

Over the years, the operation has repeatedly had requests for new features and improvements that mattered to them. FarmBackup listens and does what it can to get them built within a reasonable time. And when the new features arrive, they are well thought through and easy to use. That is a large part of the reason Døllefjelde has stayed.
Changing systems always takes a bit of a run-up, of course, but they have in no way regretted it.
How Døllefjelde uses FarmBackup Task day to day
Scheduling work orders in the calendar view. The whole process is run from the calendar view. When a customer calls with a job, the office creates a work order and schedules it in the calendar. From there it is assigned to an operator, and the job lands straight on that operator's to-do list in the app.
An easy-to-use app for work orders. The crew records their work orders in a clear app with the information needed for payroll and invoicing.
An overview of the customer's fields from the app. The customer's fields are pulled in simply by entering the CVR number, the Danish business register number. The operator can see the field boundary, the crop, the area in hectares and the field number, and get directions to the field via Google Maps.
One overview of payroll. The office gets a payroll overview where the crew's hours are automatically distributed across the right pay rates, for example regular time and overtime.
From work order to invoice in e-conomic. The office gathers the work orders that are to be invoiced and sends them straight to e-conomic, the accounting system they use. There they become a draft invoice, ready to be sent to the customer.
No breakdown or damage to the machines gets forgotten. The crew reports breakdowns and damage directly in the app. The shop has every report on one list and marks them as done once they have been dealt with.
Control of the straw from field to storage. During the busy harvest it used to be hard to coordinate the straw crew. Now it all happens on one map, which both the office and the straw crew use on the computer and in the app. The map shows the status of every step from harvest to hauling, so everyone has the overview. The storage sites are on the map too, so they can always see how many bales of each type are standing at each site. At the same time, the office knows exactly what has to be invoiced to each customer once the harvest is over.
